Description :
NATURE OF THE WORK
Reporting to the Director of Human Resources, the Assistant to the Director of Human Resources will be responsible for managing activities and dossiers of the Human Resources Office.

RESPONSIBILITIES
- Responsible for certain administrative processes related to the mandates and responsibilities of the Director of Human Resources
- Assist the Director of Human Resources in labour relations files (management of grievance files, research, jurisprudences, etc.)
- Support the Director of Human resources in the recruitment dossier as needed
- Responsible for the management of the Human Resources files and archives, both physical and digital
- Supports administrative operations and activities of the Office of the Director of Human Resources including projects, budget analysis, and other specialized functions
- Assists in identifying and resolving operational and administration issues; observes, gathers, research, compiles, verifies, analyzes, and correlates pertinent information, facts, and data; identifies alternative solutions or sound conclusions; and makes and assists in the implementation of recommendations
- Attends meetings, takes and transcribes minutes and follows up with the decisions or responsibility with the Director of Human Resources
- Handles inquires and questions related to complex issues and various administrative procedures
- In absence, performs function of the Secretary to the Director of Human Resources
- Performs any other related duties given by the Director of Human Resources.

QUALIFICATIONS
A diploma of college studies (DEC) in an appropriate specialization and six (6) years relevant experience in Human Resources

CONDITIONS
- Relevant experience coordinating an executive-level office
- Experience working in a Human Resources and in a unionized environment department an asset
- Ability to work independently as well as an active team member
- Excellent communication, planning, organizational and multi-tasking skills
- Excellent oral and written skills in English and French (testing will be required)
- Excellent Microsoft computer skills and ability to learn and use new software and technologies an asset (testing will be required)
- Experience in handling difficult and complex dossiers and able to manage stressful situations autonomously is essential
- Superior interpersonal and communication skills and the ability to build relationships
- Ability to communicate in a sensitive, courteous manner and act with discretion
- Superior planning, coordination, organizational and time management skills
- Strong change management, analytical and problem-solving skills
- Emotional Intelligence and excellent soft skills
- High level of judgment
- Must be able to maintain department standards with respect to the confidentiality of information
- Broad working knowledge of administrative and academic practices and procedures in a post-secondary institution
- Commitment to learning
- Additional educational training in Human Resources an asset or professional designation by the CRHA Corporation is considered an asset
